Role Summary
The HR and Office Coordinator is the operational heartbeat of the Albania office. This role combines two things that have to work perfectly for the office to run: HR compliance and onboarding on one side, and daily office operations on the other. It is one role that requires someone who can move between both without losing precision in either. This person is present, reliable, and embedded in the rhythm of the office every day. They are the first person a new hire interacts with when paperwork needs to be collected, and the person making sure there is coffee, supplies, and a functioning workspace for everyone else. When transportation needs coordinating or a vendor needs following up, this is the role that makes it happen.
Responsibilities
Compliance & HR Documentation
Own full-cycle onboarding process for all new employees
Process all employee changes in the system: terminations, role changes, promotions, title updates, and salary adjustments, accurately and within the required timeframe
Coordinate equipment assignment for all new hires: issue items, collect signed acknowledgment forms, and maintain an accurate equipment register with serial numbers and assignment dates
Support the collection and filing of all HR compliance documents: signed contracts, equipment forms, disciplinary records, and policy acknowledgments
Ensure all HR compliance is up to-par at all times
Engage in new projects with Strategy Department for creating SOPs, new processes, trainings, platform implementations and more
Office Operations & Administration
Coordinate daily transportation arrangements for office employees, ensuring routes are confirmed, efficient, and communicated in advance
Manage office supplies: monitor stock levels, place orders on time, and ensure the office is always properly stocked and functional
Manage vendor relationships for office-related services: follow up on orders, track deliveries, and resolve any issues without needing to escalate routine matters
Monitor office attendance and maintain an accurate daily log of who is in the office and when
Serve as the on-site point of contact for any office-related needs
Support the Office Leadership Team with any operational coordination that keeps the day-to-day running smoothly
Requirements
2-5 years of experience in office coordination, HR administration, or operations support role
Organized, detail-oriented, and able to manage a varied daily workload without losing track of anything
Extremely strong attention to detail
Reliable and physically present, this role is built around being in the office and being the person others can count on
Fluent in English - speaking, writing,
Clear, professional communication with employees, vendors, and managers
On-site in Tirana, 5 days per week - US NY time zone - Start time around 14:30h
